• Recruitment & Beneficiary Care Unit – Key Tasks
Announcing vacant positions and positions occupied by contractors for recruitment purposes.
Issuing assignment decisions and related letters.
Issuing transfer and reassignment decisions with official letters.
Issuing secondment decisions and related letters.
Registering new employees with GOSI and removing employees upon termination of their services.
Registering new employees in the Mawared system.
Authenticating qualifications through the Ministry of Human Resources’ Tawtheeq system.
Entering employee data in the Tawtheeq system of the Ministry of Human Resources.
Entering employee data in the Bayan system of the Ministry of Human Resources.
Coordinating with the Ministry of Civil Service, receiving candidate applications, presenting them to relevant committees, managing recruitment competitions, approving final results, and completing employment procedures through Jadarat, and directing candidates to relevant departments based on need.
Submitting all of the above for approval to the authorized decision holder.
• Promotions & Administrative Structuring Unit – Key Tasks
Preparing promotion minutes: reserving positions, listing eligible employees, preparing promotion records, and reviewing employee requests for administrative grades, including general scale, wage staff, and user employees.
Issuing promotion decisions after approval from the Ministry of Human Resources and Social Development and ensuring employee eligibility compliance.
Following up on administrative job requirements, discussing job needs, submitting job upgrade/downgrade requests to the Ministry of Finance as part of the national budget, handling job modifications, and updating job data and variables.
Coordinating with internal departments and external governmental entities to complete promotion procedures.
Responding to employee inquiries related to promotions and entitlements.
Ensuring correct implementation of regulations and policies governing promotions and verifying procedural compliance.
Preparing periodic reports on the progress of promotion operations and candidate eligibility data.
Communicating with promotion nominees to confirm requirement completion, issuing relevant circulars for regulation updates and amendments.
• Entitlements Unit – Key Tasks
Approving overtime work assignment requests.
Entering deputation/assignment (entidab) requests.
Entering mail distribution allowance requests.
Entering work nature allowance requests.
Entering permanent committee allowance requests.
• Attendance Monitoring Department – Key Tasks
Responding to inquiries regarding attendance discrepancies through attendance reports.
Responding to inquiries related to entry/exit fingerprint logs in the TBS system.
Adding entry and exit fingerprint records when needed.
Preparing and printing official letters.
Recording work assignments.
Recording official (assignment-related) permissions.
Adding or modifying regular permission requests.
Conducting field visits.
Maintaining attendance devices.
Activating and assigning biometric data for new employees.
Monitoring attendance records in the financial system.
Managing leave records, deductions, and verifying leave accuracy.
Issuing retroactive adjustment decisions.
Preparing leave letters for seconded employees and medical staff.
Resolving issues related to leave records, missing leaves, and deductions.
Recording leave data in the Masar system of the Ministry of Human Resources, including recording leaves taken outside Saudi Arabia through the Sehati platform.
Carrying forward leave balances annually.
Preparing service records and leave balance statements.
